Before you start
- Decide what the note is about. A note belongs to one thing (the whole project, one task, or one card), and it is only shown there.
Where notes live
| The note is about | Add it from |
|---|---|
| The whole project: a decision, an agreement with the customer | Portfolio > Project list, or Project Statistics inside the project. Both show the same notes. |
| One task | The task's Docs, notes and bookings, or the task's side panel in My activities and Active tasks |
| One card | The card's side panel, on a TameFlow board or in My cards |
Every note has a kind, such as Comment, Issue or Buffer recovery. The kind decides which fields the note has. For an everyday remark, leave it on Comment.
Procedure
Adding a note to a project from the Portfolio
- Open Portfolio > Project list and select the project.
- Select the arrow at the top right, Go to right view.
- Select the Notes tab.
- Select New note.
- Choose the Kind and fill in the fields. See Choosing a kind below.
- Select Ok.
- Select Save.
Important
Ok only closes the dialog. The note is not stored until you select Save. Until then Save stays highlighted, and Revert throws the note away.
Adding a note to a project from inside the project
- Open the project.
- In the toolbar, select Project Statistics.
- Select the Notes tab, then New note.
- Fill in the note, select Ok, then Save.
These are the same notes as in the Portfolio. A note added in one place is there in the other.
Choosing a kind
The Kind list in the Note dialog changes the fields below it. The kinds and fields below are examples from one space.
| Kind | Fields |
|---|---|
| Comment | Comment (free text) |
| Issue | Problem description and Proposed solution, plus the space's own fields, such as Responsible and Waiting Reason |
| Buffer recovery | Reason for delay and Buffer recovery plan |
| Start check, End check | A short text and a Close tick box, for a check to tick off |
Note
Notes can be personalised with custom fields. The Responsible and Waiting Reason fields above are two of them. So the fields in your space may differ from these. Setting up custom fields is explained in Setting up custom fields.
Adding a note to a task
- Open the project and select the task.
- In the task details at the bottom, select Docs, notes and bookings.
The task's panel opens on the right, on Notes.
- Select New note, fill in the note and select Ok.
- Select Save.
Adding a note to a task from a task list
You can also add a task note without opening the project.
- Open Focus > My activities, or Portfolio > Active tasks.
- Select the task.
- In the panel on the right, select the Notes tab.
- Select New note, fill in the note and select Ok.
- Select Save.
Adding a note to a card
- Open Focus > Tameflow, or Focus > My cards.
- Select the card.
- In the panel on the right, select the Notes tab.
- Select New note, fill in the note and select Ok.
- Select the check mark at the top right to save.
Changing or deleting a note
- To change a note, select the pencil on it. The same dialog opens; Ok is available once you have changed something. Then select Save.
- To delete a note, select it and select the bin next to New note. When you save, LYNX-X lists what will be removed; select Apply changes.
Warning
After you delete a note, the next note in the list is selected and the bin stays active. Check which note is selected before you select the bin again.
Expected outcome
The note is at the top of the list, newest first, with its kind, its author and the date: Comment created by Support Center on 15/09/2026 8:39. Your own notes show your initials on the left; other people's show theirs on the right.
The count on a task's or a card's Notes tab goes up by one.
Troubleshooting
| Problem | Resolution |
|---|---|
| The project's Notes tab shows (0), but notes are listed. | The count on the project tab does not include the project's notes. Go by the list, not the count. |
| A note you added from the Portfolio is missing inside the project. | The project was already open, and an open project is not refreshed. Close the project's tab and open the project again. |
| A note you know exists is not listed. | The list is filtered. By default, notes with the status Closed are hidden. Select the filter icon, then Show all. |
