Before you start
- You need access to Configuration for the space you are working in.
- The space must contain at least one card custom field with a fixed set of values, such as Status. This field becomes the board's columns.
- Decide which cards belong on the board. You can restrict them later with a filter.
Note
A stream is the flow of work: it owns the controlling property, the token budget and the cards that enter the flow. A board is one view of that stream: it decides which columns are visible, what they are called, and which of them limit work in progress. One stream can have several boards, so different teams can look at the same flow in different ways.
Procedure
Open the TameFlow set-up
- On the home page, select Go to configuration. The configuration page opens.
- Under Object Configuration, select TameFlow Kanban.
The Kanbanboard setup dialog opens.
The left pane, Board configurations, lists every stream in the space with its boards nested underneath. The three tabs on the right change what you configure for the item you select in that tree.
Add a stream
- In the Board configurations tree, select Streams / Boards.
- Select +. A new, empty row appears in the tree and its name becomes editable.
- Type the stream name and press Enter.
Add a board to the stream
- Select the stream you want to add the board to.
- Select +. A new row appears underneath the stream.
- Type the board name and press Enter.
Repeat this step for every view you want of the same flow.
Set the controlling property
The controlling property is the card field that decides which column a card sits in. Without it, cards never appear on the board.
- Select the stream in the tree.
- Open the Stream configuration tab.
- In Controlling property, select the field that represents the stage of work, for example Status [Status].
Important
If Controlling property is empty, the board renders its columns but shows no cards. This is the first thing to check when a board looks empty.
Choose which columns the board shows
- Select the board in the tree.
- Open the Board configuration tab. The grid lists one row per value of the controlling property. The path above the grid confirms which board you are editing, for example Stream A / Standard.
3. Set the columns you need:
| Field | What it does |
|---|---|
| Show | Displays this value as a column on the board. Clear it to hide a value without deleting it. |
| Property value | The stored value of the controlling property. Read-only. |
| Caption | The column heading shown on the board. Use it when the stored value is not the wording your team uses. |
| Add to WIP | Counts the cards in this column as work in progress. |
| Token required | Makes a card consume a Kanban token while it sits in this column. See Limiting work in progress with Kanban tokens. |
| Wait column | Adds a waiting or buffer column in front of this column. See Adding wait and buffer columns to a TameFlow board. |
| Buffer size | The target number of cards for a buffer column. |
Only the values with Show selected become columns.
Tip
If Buffer size is out of view, maximise the Kanbanboard setup dialog to see every column of the grid.
Limit the cards that reach the stream or board (optional)
You can filter at two levels. A stream filter decides which cards enter the flow at all; a board filter narrows what one view of that flow shows.
- Select the stream, or the board, in the tree.
- Enter a Descriptive name of filter. This is the label users see.
- Enter the expression in Filter, for example:
WorkType=='Development'
or
Contains(Worktype,'Development')
- Select OK to save the whole set-up.
Expected outcome
Open Focus > Tameflow. The selector at the top left shows the board name with its stream name underneath. Select it to switch between streams and boards. The board displays one column per value you marked as Show, each with a badge showing how many cards it currently holds.
Additional information
Tip
Give boards names that describe the audience or the slice of work, not the stream: for example Embedded Software rather than Board 2. The stream name is always shown beneath the board name in the selector, so repeating it adds nothing.
Note
Card background colors is set once for the whole space, not per stream. On that tab you pick one controlling property and map each of its values to a colour; every stream and board then uses those colours.
Troubleshooting
| Problem | Resolution |
|---|---|
| The board shows its columns but no cards. | Check Controlling property on the Stream configuration tab. If it is empty, cards cannot be placed. |
| A card exists but never appears. | Check the stream filter and the board filter. A card excluded by either one is not shown. |
| A status value is missing from the board. | On the Board configuration tab, select Show for that value. |
| Cards appear in Focus > My cards but not on the board. | Confirm the card's workpackage has been started. Cards on work that has not started are not routed onto the board. |
