Summary: Create a calendar that defines an organisation's working hours and non-working days, so that projects, resources and skills can be scheduled against it.

Before you start
- Decide what the organisation's standard working hours are, and which days of the week are not worked.
- Know whether any group of resources needs different hours from the rest, for example a part-time team, or a site in another time zone. Each of those needs its own calendar.
Procedure
- Open Configuration, then select Calendars.
- Select New to create a calendar.
- Enter the calendar's name in Description.
- Under Calendar rules, select the + to add a rule.
- Add a working-hours rule: the hours a normal working day runs from and to.
- Add a rule for each non-working day: a weekday that is never worked, or a specific date such as a public holiday.
Expected outcome
The month grid shows the result of the rules: the hours available on each working day, and 0:00 in red on days the rules exclude.
The rules themselves are listed below the grid, each written as a sentence, for example Resources are normally working between 9:00 and 17:00 or Resources are not working on Saturday. Select the pencil beside any rule to change it.
A calendar does nothing on its own until it is assigned. See Assigning calendars to resources, skills and projects.
Additional information
Note
Working hours and non-working days are the same kind of thing in LYNX-X: both are calendar rules. There is no separate working-hours grid to fill in. You add a rule for the hours, and a rule for each exception that applies to everyone on the calendar, such as a public holiday.
An absence that belongs to one person, such as leave or a training day, does not go in the calendar. Set it on that resource instead, so the rest of the calendar's users are not affected. See Setting a resource's non-availability period.
Tip
A calendar is reused everywhere it is assigned, so create one calendar per working pattern (standard hours, part-time, a specific site), not one per resource. The Configuration screen shows how many calendars a space already has before you add another.
Troubleshooting
| Problem | Resolution |
|---|---|
| The grid still shows hours on a day that should be non-working. | Check the rules list below the grid. A non-working day needs its own rule; changing the working-hours rule does not exclude a day. |
| A rule is listed but the grid has not changed. | Select Save in the left rail. It stays greyed out until there is an unsaved change. |
